Privacy policy

Vancouver Heat Pump Pro (“we”) follows British Columbia's Personal Information Protection Act (PIPA) and, where it applies, the federal Personal Information Protection and Electronic Documents Act (PIPEDA). This policy explains what we collect through this website, our phone line and text messages, why, and your choices.

What we collect

Quote and contact requests: your name, phone, email, postal code, home type, current heating, timeline, whether you own or rent, notes and any photos you upload.
Partly completed forms: if you type your phone number into a quote form or the “Text us” box, we save what you've entered so far so we can follow up, even if you don't finish. You can ask us to delete it at any time.
Calls and texts: the number you call or text from, call time and duration, voicemails, and - where announced at the start of the call - call recordings, used for quality and training.
How you found us: first-party cookies record the page you landed on, the referring site and campaign tags (such as utm and gclid parameters) so we know which ads and pages bring in requests.
Analytics and advertising: with your consent, Google Analytics, Google Ads and Meta tags measure site use and ad performance. Vercel Web Analytics collects anonymous, cookie-free usage statistics.

Why we use it

To respond to your request, book visits, prepare quotes and do the work.
To prepare rebate applications you ask us to help with.
With your consent, to text and email you about your quote. Reply STOP or use the unsubscribe link to stop.
To improve our website and measure our advertising.
To prevent spam and abuse of our forms.

Who we share it with

We don't sell your information. We use service providers to run our business, who process it on our behalf:

Vercel (website hosting, file storage), Neon (database), Upstash (spam protection)
Twilio (calls and texts), Resend (email)
Cloudflare Turnstile (spam check on forms)
Google and Meta (analytics and advertising, only with consent)
Our customer management software, if used

Some of these providers store data outside Canada, including in the United States, where it may be accessible to authorities under local law. We share information with rebate programs only when you ask us to apply on your behalf.

How long we keep it

Requests that don't become jobs are deleted after 24 months. Customer records are kept as long as needed for warranty, legal and tax purposes. Call recordings are deleted after 90 days.

Cookies and your choices

Essential cookies keep forms working and record how you found us. Analytics and advertising cookies are off until you accept them in the cookie banner. You can change your choice by clearing this site's data in your browser.

Your rights

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw consent and ask us to delete it, subject to legal requirements.
